Planning content every week is exhausting and ends in abandonment. Planning 90 days at once, on the other hand, eliminates the daily 'what do I post today' decision and lets you produce in monthly sessions. This article explains the method for building a quarter of content in a single afternoon.
Why planning week by week always fails
Weekly planning has a fundamental flaw: it turns content into a recurring emergency. Every week you have to decide what to publish, with what image and what text. That friction, multiplied by 52 weeks, eventually wins, and your presence fades.
Planning 90 days at a time flips the problem. You make the hard decisions once per quarter, when you have perspective, rather than every Monday in a rush. The rest is execution.
The quarter is the ideal horizon: long enough to batch-produce and plan sensibly, short enough to adapt to what works and to current events.
Define your content pillars
Before filling in dates, define what you're going to talk about. Content pillars are 3–5 topics that cover what your business wants to communicate. Everything you publish fits into one of them.
For a local services business, typical pillars might be:
- Educational: tips and guides that demonstrate your sector knowledge.
- Cases and results: real work, before and after, testimonials.
- Behind the scenes: team, process, day-to-day (builds closeness).
- Offer and services: what you do, news, occasional promotions.
- Sector news: industry news and trends commented from your point of view.
Distribute pillars in a healthy proportion: most content educational and valuable, only a small portion promotional. An account that only sells gets tiring; one that provides value builds loyalty.
The 90-day structure
With pillars defined, building the calendar is mechanical. The four-step method:
- Decide the realistic frequency per network (3 quality posts a week is better than 7 forced ones).
- Assign each publishing day one of your pillars, rotating them for variety.
- Mark the key dates of the quarter: bank holidays, your sector's season, your own events.
- Fill each slot with a specific content idea within the assigned pillar.
When you're done you have a table with 90 days of specific ideas, each with its pillar and format. The decision of 'what do I post' no longer exists: it's already made.
Producing once a month in batches
With the calendar done, production stops being daily and becomes monthly. A half-day session per month generates the material for the following four weeks.
The key is to group similar tasks (batch production), which is far more efficient than making one complete piece every day:
- One photo/video session per month for all the visual material.
- One writing block for all the month's texts in one sitting.
- One design block for all the graphics pieces together.
- One scheduling session to get the whole month queued up.
Batch production only works if the calendar is done first. If you sit down to produce without knowing what you need, you're back to improvisation. The order is: plan first, produce second.
Tools to manage the calendar
You don't need anything complex. A simple, effective stack:
- A spreadsheet or Notion/Trello for the calendar and the status of each piece.
- Buffer, Later or Metricool to schedule publishing across all networks.
- A cloud folder organised by month for the produced material.
- An AI like Claude to generate text variants from your ideas, keeping your tone.
Template to start today
- Define between 3 and 5 content pillars for your business
- Decide the realistic frequency for each social network
- Create the quarter table with day, pillar, idea and format
- Mark bank holidays, your sector's season and your own events in the calendar
- Fill all 90 slots with specific ideas
- Schedule a monthly production session in your calendar
- Set up the scheduling tool with all your networks
- Schedule the first full month and free up your week
The first time takes an afternoon. After that, each quarter is planned faster because you already have the structure. And above all, you reclaim the weeks that used to disappear deciding what to post.
